Acceptable Use Policy
Last updated October 31, 2026
This policy is part of the PropFlow Terms of Service. It applies to everyone who uses PropFlow for a property business: owners, managers, maintenance staff and anyone else a Company invites. Breaking it can lead to suspension of access.
Treat everyone fairly
- Don't use PropFlow to discriminate against anyone because of race, color, religion, sex (including sexual orientation and gender identity), national origin, familial status or disability, or any other class protected by state or local law (for example, source of income, including housing vouchers, where protected).
- Apply the same screening criteria to every applicant for a unit, and provide reasonable accommodations and modifications when required.
- Don't write notes, messages or listings that express a preference or limitation based on a protected class.
Screen applicants lawfully
- Get the applicant's written authorization before ordering a credit or background report, and use reports only to evaluate that application.
- Send an adverse action notice when a report contributes to a denial, conditions or higher deposit, as the Fair Credit Reporting Act requires.
- View Social Security numbers and ID documents only when needed to process an application. Every view is logged.
Respect residents
- Don't harass, threaten or shame residents in messages, notes or notices.
- Don't use PropFlow to carry out an illegal eviction or self-help (lockouts, shutting off utilities, removing belongings) or to send notices your state doesn't allow.
- Give notice before entering a unit as your lease and state law require, and record visit times honestly.
Messages
- Text and email only people who have agreed to receive account messages, and only about their application, tenancy or work.
- No marketing, promotions, political or unrelated messages through PropFlow.
- Honor every STOP request. Don't re-add someone who opted out without their new consent.
Keep information confidential
- Use resident, applicant and Company information only for your work for that Company. Don't copy, screenshot, download or share it for any other purpose, including after you leave the Company.
- Maintenance staff: use tenant names, phone numbers and unit access details only to complete repairs.
- Don't share your sign-in, codes or private links, and don't let others use PropFlow as you.
- Owners: remove team members promptly when they leave, and give each person only the role they need.
Don't misuse the Service
- Don't upload anything illegal, infringing or harmful, including malware.
- Don't try to access another Company's data, test or bypass security, or overload the Service.
- Don't scrape, copy, resell or reverse engineer PropFlow.
- Don't enter information you know to be false, or forge signatures, payments or records.
Reporting
Report misuse or a security problem to rajpatel93@gmail.com. We may investigate and, where needed, suspend access or cooperate with law enforcement.
