Import tenants from signed leases

Upload signed leases and PropFlow reads each one and adds the tenant after you check it.

1 min read

No spreadsheet? Upload your signed leases instead. PropFlow reads each one for the tenants, unit, lease dates, rent, Section 8 split, deposit and late fee. You check everything before it's saved. Only the company owner can do this.

Heads up: Lease reading must be turned on for your account first. If the page says "Lease reading isn't turned on yet", use Import from a spreadsheet instead.

  1. Go to Portfolio → Properties, click Import, then click Import from leases →.
  2. Click Choose leases (or drag them in). Use PDFs or photos, one lease per file. Scans and phone photos work. PDFs must be under 25 MB.
  3. Wait while each lease is read. It can take up to a minute each.
  4. Click Review to check what was found.
  5. Fix anything that's wrong: the property, unit, tenants, phone, email, lease dates, rent, subsidy (HAP), deposit, and Owes today.
  6. For a new address, fill in the property details and Owner on leases.
  7. Click Import.

What happens

  • Leases are matched to your properties by address. New addresses become new properties.
  • If the unit already has that tenant, the lease is filed with them. A renewal updates their lease dates.
  • The signed lease is kept on the tenant's page, visible to your team only.

Questions

It says the copy doesn't look signed. Is that a problem?

It's a warning so you can check. Upload the signed copy if you have it.

What does `Owes today` mean?

What the tenant owes right now, counting this month's rent. Enter 0 if they're paid up.
