Do a move-in or move-out inspection
Walk the unit room by room, rate each item, take photos and have the tenant sign it on their link.

A move-in inspection records the unit's condition when a tenant moves in. The move-out one compares against it, so you can show what changed and charge repairs to the deposit.
Start an inspection
- Open the tenant's page and go to the Lease tab.
- Next to Move-in or Move-out, click Start. Move-out can start only after a move-out date is recorded.
- The checklist opens. A move-out one uses the same rooms and items as the move-in, so they line up.
Tip: Only owners and managers can start an inspection. Maintenance staff can fill one in once it's started: find it under Leasing → Inspections (or Inspections in their menu).
Fill it in
- Check the Date of inspection and Inspected by.
- For each item, pick Good, Fair, Poor, Damaged or N/A. Add a note for anything not good.
- Tap Photo to take pictures with your phone.
- On a move-out, type a repair cost for damage. PropFlow flags items that are worse than at move-in.
- Add rooms with Add a room and items with Add an item. Use Overall notes for keys given, meter readings and so on.
- Click Save draft to finish later, or Complete inspection when every item has a rating.
Get the tenant's signature
Once it's completed, the tenant can review and sign it on their private link, under Inspections. Send them their link from the tenant page if they don't have it. The Inspections list shows each one as Draft, Waiting for signature or Signed.
After a move-out, if items have a repair cost, you'll see Settle the deposit. Those costs are filled in as deductions.
Questions
How do I fix a mistake after it's completed?
An owner or manager can click Reopen to edit. If the tenant already signed, reopening clears their signature, so they need to sign again.
Can I print it?
Yes. Open the inspection and use your browser's print. The tenant can also print it from their page.
