Schedule recurring maintenance

Set up filter changes, alarm tests and other repeat jobs so they turn into work orders on their due date.

1 min read

Recurring tasks are jobs that repeat, like changing HVAC filters every 3 months. On the due date, PropFlow turns each task into a work order and moves it to the next date.

  1. Go to Operations → Recurring tasks.
  2. Under Add a recurring task, click a common one (like + Replace HVAC filters) to fill in the form, or start from blank.
  3. Fill in Task and pick Where: Every unit (one work order for each unit), Common area / building (one work order), or one unit only.
  4. Pick the Kind of work and how often to Repeat (every month up to every 3 years).
  5. Pick the Next due date. The work order shows up on this date.
  6. Optional: Assign to someone, pick a Vendor, and add Instructions. Instructions show on every work order it makes.
  7. Click Add recurring task.

Tip: If the next due date is today or earlier, the work orders are made right away.

Change, pause or delete

Click a task in the list to edit it. Set Status to Paused to stop it for a while, then Save. The page also lists Work orders it made. To remove it for good, click Delete this recurring task. Work orders it already made stay.

Questions

When do the work orders appear?

Once a day, and also whenever someone opens Work orders or Recurring tasks. A task only makes work orders once per due date.

Can I change the date of just one visit?

Change the visit on that work order. The recurring task keeps its own schedule.
