Collection notes are a simple log of what you did to collect rent. Log a promise to pay and PropFlow checks the tenant's payments to tell you if they kept it.

Add a note

  1. Go to Collections → Delinquency.
  2. On the tenant's row, click Log under Latest note.
  3. Pick what kind of note it is: Call, Text, Visit, Email, Promise to pay or Note.
  4. Write what happened (for example, "Left a voicemail, said they get paid Friday").
  5. Click Save.

Log a promise to pay

  1. Click Log and pick Promise to pay.
  2. Enter the Amount they promised and the Pay by date.
  3. Add anything else they said (optional), then click Save.

A promise is kept when the tenant's own payments from the day you logged it through the pay-by date add up to the amount. Housing assistance and security deposits don't count. If the date passes without that, it shows as a broken promise in red.

Tip: Use the Promised to pay and Broke a promise filters on Delinquency to see who to follow up with today.

Questions

Where can I see all the notes for one tenant?

On the tenant's page, in the collection notes section. From the Log box on Delinquency, click All N notes.

Do owners see these notes?

No. Notes are for your office. A promise to pay does show up in a hands-on owner's weekly update, by unit only. See Owner emails.

Can I delete a note?

Yes. The person who wrote it, or the company owner, can remove it from the tenant's page.
