The Delinquency page lists every tenant who owes, how old the balance is, HAP still owed, and what you've done about it.

The Delinquency page is your collections list. It shows everyone who owes money, how long they've owed it, and what's happening next. Check it a few days after rent is due and again each week.

Open the report

  1. Go to Collections → Delinquency.
  2. Read the totals across the top: Tenants owe, Over 30 days, Over 90 days, HAP owed (the part the housing authority still owes you) and Moved out, still owe (after deposits).
  3. Use the filter buttons to narrow the list: Everyone, Living there, Over 30 days, Over 60 days, Over 90 days, No notice yet, Promised to pay, Broke a promise, HAP owed or Moved out. Each shows how many people match.
  4. Use the Sort menu to order by Most owed, Oldest first, Property, Longest since paid or Longest since a note.
  5. Type in Find a tenant, unit or property to jump to one person.

What each row tells you

  • Owes: the tenant's balance, split by age (0–30, 31–60, 61–90, 90+ days). Payments always count against the oldest charges first.
  • HAP owed: housing assistance that came in short, and which months. It is not part of the tenant's own balance.
  • Status: no notice, notice made or served, eviction open, or moved out. Any promise to pay shows here too.
  • Latest note: the last call, text or visit you logged. Click Log to add one. See Log calls and promises to pay.
  • Next step: Send 7-day notice, Start eviction (once a notice exists), Case (eviction already open) or Open (the tenant's page).

Make notices for many tenants at once

  1. Tick the box next to each tenant (or the box in the header to pick everyone shown who can get a notice). Moved-out tenants and tenants already in eviction can't be picked.
  2. A bar appears at the bottom. Check the Date on the notices (today or earlier this month).
  3. Click Make N notices. PropFlow makes them and opens them ready to print. See Send 7-day notices.

Tip: Click Download CSV at the top to get the whole list as a spreadsheet for your owner, your lawyer or your own records.

Questions

Why does someone with HAP owed not show a balance?

HAP is tracked apart from what the tenant owes. A tenant can be paid up while the housing authority is still short for a month.

Who can make notices and log notes here?

The owner and managers. Accountants can view the report and download the CSV, but the checkboxes and Log button are hidden for them.

Can I pick more than 200 tenants?

No. Make notices in groups of 200 or fewer.
