Record what you pay owners
Pay owners when you close the month, or record a one-off payout on the owner's page.
1 min read
A payout is money you send an owner from their properties' cash. PropFlow keeps track of the cash held for each owner (everything collected minus expenses, fees and payouts) so you know what's safe to pay.
The usual way: when you close the month
On Accounting → Close the month, type each owner's amount in their Pay box and close the month. PropFlow records the payout and splits it across their properties. See Close the month and pay owners.
Record a one-off payout
- Go to Portfolio → Owners and open the owner.
- Scroll to Payouts.
- Pick the Property (if they own more than one), then enter the Amount, Date paid, How (ACH, Check, Wire, Zelle or Other) and an optional note.
- Click Record payout.
To remove a payout entered by mistake, click Delete next to it.
Payout schedules
- Every month: suggested each time you close a month.
- Every quarter (Mar, Jun, Sep, Dec): suggested only when you close those months.
- Hold: don't pay out for now: never suggested. Cash keeps building up for them.
Change the schedule in the owner's Management agreement.
Questions
Can owners see their payouts?
Yes. Owners who log in to the owner portal see every payout. See Owner payouts in the portal.
Does a payout send money?
No. PropFlow records the payout. You still send the money through your bank.
Why can't I pay more than what's available?
When you close the month, payouts are capped at what's above the reserve. A one-off payout on the owner's page isn't checked against that, so be careful.
