Take and review rental applications
Turn on your online application link, share it, and approve or deny applicants.

People can apply for a unit online from their phone. You review each application in PropFlow and, when you approve one, move the person in with their details already filled in.
Turn on the application link
- Go to Portfolio → Properties and open the property.
- On the Application link card, click Turn on applications.
- Click Copy to copy the link, or Preview to see the form. Put the link on your listings and in texts.
- To stop taking applications, click Replace or turn off this link, then Turn off. Make a new link gives you a fresh link and the old one stops working.
Share the application
The Share application page is in the menu for maintenance staff (under More) and for anyone using the simple view. It shows each property's link, the units open now, and a QR code people can scan. Use Text it, Copy link or Share. When someone applies from your link, they show under People you referred with their status. If no units are open, people can still apply to join the waitlist.
Review an application
- Go to Leasing → Applications. New ones are under To review. Decided ones are under Decided.
- Click an application to see identity, move-in date, household, income (and income vs. rent), rental history, pets, vehicles and uploaded documents like photo ID and proof of income.
- Click Mark reviewing if you're still checking.
- To approve, click Approve and move in. This opens the move-in form with their details filled in. If no unit is free, the button just says Approve and keeps them on file.
- To deny, click Deny…, add a reason (kept on file, not sent to the applicant), then Deny application. Use They withdrew if they changed their mind.
Tip: Closed an application by mistake? Open it and click Reopen.
Questions
Can I see the applicant's full Social Security number?
The owner and property managers can reveal it on the application. Everyone else sees only the last 4 digits.
Does PropFlow run credit or background checks?
No. The application collects the information and documents. Run any screening yourself.
