Track Section 8 and other housing assistance
Split rent between the tenant and the housing authority, and track HAP payments, re-exams and inspections.
2 min read
When a housing program helps pay rent, PropFlow splits each month in two: the tenant's share, and the HAP (the part the housing authority pays). The two are tracked apart. A late HAP payment never adds a late fee or shows up in the tenant's balance.
Set up an assisted tenant
- When you move the tenant in, set Rent assistance to Section 8 (HAP) or Other assistance. Enter what Assistance pays ($ per month) and the Re-exam date. For a current tenant, use Change rent instead.
- Go to Collections → Housing authority and click Add your housing authority. Enter its Name, Short name, Landlord portal link, phone, email and address, then click Add housing authority.
- In the Assisted tenants table, click Add details next to the tenant.
- Fill in the Program (housing authority, voucher number, HAP contract number), the Caseworker, the HAP contract and rent increases dates, the Inspections and any HAP abatement. Click Save.
Record a HAP payment
Click Record payment, pick the tenant, and set Paid by to HAP / housing authority. Pick the rent month the HAP is for. See Record a rent payment.
What the Housing authority page shows
- Coming up: re-exams, inspections, repair deadlines after a failed inspection, rent increase windows, contract end dates and abatements in the next 90 days.
- Assisted tenants: each tenant's program, rent, HAP, tenant share, re-exam, next inspection and contract anniversary.
- HAP payments: expected vs received: what the housing authority should have paid each month, what came in, and what's still owed.
Check against the housing authority's portal
Click Check against portal to compare HAP payments, rents and re-exam dates with your housing authority's landlord portal. On a computer, drag the Send to PropFlow button to your bookmarks bar once. Then sign in to the landlord portal and click the bookmark. PropFlow shows HAP that was paid but not recorded, HAP not paid yet, and any rent or re-exam dates that don't match. Your portal password never goes to PropFlow.
Questions
The housing authority changed the HAP amount. What do I do?
Open the tenant and click Change rent. Enter the new assistance amount and the date it starts. See Change rent or renew a lease.
What is HAP abatement?
It's when the housing authority stops paying, usually after repairs weren't made in time. Record the dates under HAP abatement so you know why HAP is missing.
Where do I see what HAP still owes for one tenant?
On the tenant page, the HAP still owed card shows it. The rent roll's HAP owes column shows it for everyone.
