Move in a new tenant

Add a new tenant to a vacant unit, set their rent and deposit, and start their ledger.

Use Move in a tenant when someone new is moving into an empty unit. PropFlow sets up their household, rent and deposit, and posts their first month's rent for you. The first month is prorated (charged only for the days they live there).

Fill in the move-in form

  1. Go to Leasing → Tenants and click Move in. Or open the property under Portfolio → Properties and click an empty unit.
  2. Under Unit and dates, pick the Unit and the Move-in date. Lease end fills in for one year minus a day; change it if your lease is different. Leave Lease start blank if it's the same as the move-in date.
  3. Under Main tenant, enter their First name and Last name. Add Email and Phone if you have them. The phone is used for rent texts and for signing in to the tenant portal.
  4. Under Co-tenants, click Add co-tenant for anyone else on the lease who is responsible for rent.
  5. Under Other occupants, click Add occupant for everyone else who lives there, like children. They print on the lease as Exhibit B.
  6. Under Rent, enter the Monthly rent ($). If a housing program helps pay, set Rent assistance to Section 8 (HAP) or Other assistance, then enter what Assistance pays ($ per month) and the Re-exam date. PropFlow shows what the tenant pays each month and their prorated first month.
  7. Under Security deposit, check Deposit required ($). It starts at one month's rent.
  8. Fill in Pets, Emergency contact and Notes if they apply.
  9. Click Move in. If the move-in date is in the future, the button says Schedule move-in instead.

You land on the new tenant page. Their first month's rent is already on the ledger. Click Record their deposit or first payment to record what they paid.

Tip: The deposit is not charged on the ledger. When they pay it, go to Record payment and pick Security deposit.

Moving in from an application

When you approve a rental application, you can move the applicant in from there. The form fills in their name, phone, email, occupants, pets and emergency contact. Check the rent, deposit and dates before you save.

Questions

The unit I want isn't in the list. Why?

Only vacant units show up, plus units whose current tenant already has a move-out date. Record the current tenant's move-out first. A unit with a move-out date shows when it's free, and the move-in date can't be earlier than that.

What happens with a future move-in date?

The tenant is scheduled. They show as moving in soon, and become the current tenant on that date. You can still record a deposit or rent paid ahead before then.

I'm recording a move-in that happened months ago. Will the old rent post?

Yes. PropFlow posts rent for each month since the move-in date (back to when the property started tracking in PropFlow).

Who can move tenants in?

The owner or a property manager.
