Check rent deposits against your bank

Upload a bank statement CSV and PropFlow checks that every rent and HAP payment you recorded actually reached the bank.

2 min read

Bank matching catches mistakes, like a payment you recorded that never hit the bank, or a deposit nobody recorded. Do it once a month before you close the month.

Upload your bank statement

  1. On your bank's website, open the account's activity, pick the dates and download it as CSV (sometimes called "Excel" or "spreadsheet").
  2. In PropFlow, go to Accounting → Bank deposits and open Upload a bank statement (CSV).
  3. Click Choose bank CSV and pick the file. Type a name in Account if you have more than one bank account.
  4. Check that PropFlow picked the right Date column, Description column and amount column, and whether Money in is shown as Positive amounts or in Its own column.
  5. Click Import N deposits. Only deposits are saved, and PropFlow matches them to payments right away.

Tip: Uploading the same dates again is fine. Deposits that are already there are skipped.

Review the month

Use the arrows to pick the month. The totals show Deposits, Matched to payments, Not explained and Recorded, not in bank. Then work through the lists:

  • Deposits to look at: deposits PropFlow couldn't match. Tick the recorded payments that make up the deposit and click Save match. If it isn't rent (an owner transfer, a refund), type what it is and click Not rent.
  • Recorded in PropFlow, not found in the bank: payments you entered that don't show up in the bank. Check for a typo, a bounced check or a deposit still on its way.
  • Matched: deposits that line up. Click Unmatch if one is wrong.
  • Not rent: deposits you set aside. Click Undo to bring one back.

Click Match again after you record more payments to let PropFlow try again.
