Record every payment you receive: cash, money orders, checks, Zelle and so on. This updates the tenant's balance, the rent roll and the delinquency list.
- Click Record payment. It's on Collections → Payments, the rent roll and each tenant's page.
- Pick the Unit and tenant. Current tenants, people moving in soon, and past tenants who still owe are listed. PropFlow shows this month's tenant share and their balance.
- Choose Rent payment or Security deposit.
- Enter the Amount ($) and the Date paid. The date can't be in the future.
- Set Paid by to Tenant, or to HAP / housing authority for a housing assistance payment.
- Pick the Method (Cash, Money order, Check, Zelle and so on) and add the Check / ref # if there is one.
- For rent, pick the Rent month the money is for. A late payment for October still goes to October.
- If one payment covers more than one month, click Split across months and enter how much goes to each month. The months must add up to the payment.
- Add Notes if you like, then click Record payment (or Record deposit).
Waiving a late fee
On a tenant's rent payment, the owner can check Waive the late fee for this month. This removes any late fee already charged for that month. A manager sees Ask the owner to waive the late fee for this month instead. That sends a request to Approvals, and nothing changes until the owner approves.
Heads up: If the tenant has an eviction in progress, PropFlow warns you. Ask your lawyer before you accept the payment. Taking rent during an eviction can stop or restart the case.
Questions
It says the payment is already recorded. What do I do?
PropFlow found a payment from the same tenant, for the same amount, on the same date. If it really is a second, separate payment, confirm it. If not, don't save it again.
Can a past tenant still pay?
Yes. Past tenants who owe show in the tenant list, and their payments go to their last month.
How do I find an old payment?
Go to Collections → Payments. Search by unit, name or ref number, or filter by rent month, payer (tenant or HAP) and status.
Who can record payments?
The owner and property managers.
